Faculty appointments are in several categories: Multi-year Appointments, Fixed and Continuing Contracts, Successive Contracts, and Extensions; Affiliate and Joint Appointments; and Appointments of Faculty Administrators.
Description of Appointment Types
New Faculty Employment Process (LCOB)
Department Secretary “To Do” List
- Contact your new Department faculty (via letter, phone or e-mail), and set up an
appointment with them.
- Make sure they provide official transcripts to the Office of Academic Affairs. They
should be sent to:

- Make sure they make an appointment with Human Resources Department to
complete the Payroll “Sign On”.
- Place a request with the College Business Manager to have an e-mail account
established.
- Provide them with copies of the Academic Calendar, Holiday Schedule and Payroll
information.
- Have the Business Manager of the College provide them with a podium key and
office key.
- Have them contact Instructional Technology to schedule podium training, and make
other appointments related to on-campus IT facilities and resources.
- Supply clerical support for course syllabi, course documentation, exams, etc. (if
needed.)
- Submit textbook orders to the bookstore's website.
- Order desk copies for the department and for the new faculty.
- Supply a list of contacts and phone numbers for the COB and other University
department(s) such as:
- Instructional Technology (re: training, web development, course syllabi, etc.)
- Computer Services (re: technical support, hardware and software)
- Police Department (re: parking, opening classrooms, security issues, etc.)
- Physical Plant (re: air conditioner)
- Supply access to the web site for the current College of Business Faculty/Staff
Handbook.
- Arrange for Business Cards.
- Make sure they have received instructions and PIN for GulfLine.
- Get a card key to the classrooms from the College Business Manager.
- E-mail the following information to Business Operations (bizop@fgcu.edu):
- Employee's e-mail address
- Employee's UIN
- Index Number to which copies should be charged

- The Human Resources Department has a schedule for new employee “Sign-On” (M
& F 12:30 - 2:30 and W 2:30 -4:30 p.m.). You don’t have to make an appointment, just
attend one of the sessions.
- Contact Academic and Media Technology Services (AMTS) at 590-7082, or online
to set up training sessions on equipment
resources which include:
- Learning to use the Classroom Podium
- Creating An On-Line Syllabus
- Learning to use the ANGEL Course Management System
- Meet with your Department Chair to get assistance in preparing your Professional
Development Plan (PDP), Faculty Activity Report (FAR), as well as your Faculty Assignment Form (FAF). See Performance Reviews in this section of the Handbook.
- Supply copies of the following to the Department Secretary:
- Course Syllabus (for each course you are teaching that semester).
- Office Hours or Schedule of availability (for each semester you teach at
FGCU).
- Textbook order of all textbooks students will need for each class you are
teaching each semester (approval at the discretion of the Department's
Chair)
- Review the FGCU Faculty Handbook
(44 pages).
- Review COB Faculty & Staff Handbook

- The COB Business Manager will set up an e-mail account for you, you will get a user
ID and a sign-on password.
- Obtain a Podium Key from the Business Manager.
- Obtain an office Key (must wait to receive notification by e-mail that the key is ready
at the Campus Support Complex Room # 30.
- If you are teaching in a podium classroom, you need to obtain a card key from the
College Business Manager.
- Purchase a Parking Decal as soon as you are confirmed as New Professor Campus
Police & Safety is located in the Campus Support Complex. See the Parking Services website for more information.
- Obtain an ID Card at the Eagle ID Card office, McTarnaghan Hall Room 142. (More information at the Eagle ID website.)
- Let your Department Secretary know if you need Desk Copies of the textbook(s) you
are going to use.
- Verify information on request for Business Cards.

PERFORMANCE REVIEWS
Faculty Activity Report (FAR)
What is it?
A FAR is a report that shows an individual faculty's assignments for a given semester or
specified period.
Who needs to complete one?
All full-time personnel on a faculty line, to include faculty with a visiting appointment and Instructors, must fill out a FAR at least two weeks prior to the end of each semester. All Fulltime faculty need to complete and sign a paper copy of the FAR and also submit an electronic copy to their Department Secretary.
What are the rules for Summer semester FARs?
Full-Time Faculty on a Twelve-Month Contract
Full-time faculty on 12-month contracts need to complete FARs for the summer semester the same way they prepare the spring and fall semesters showing 12 Total Contact Hours and include teaching (if any), Academic Administration, Service.
Full-Time Faculty on a Nine-Month Contract
For faculty on a 9-month contract teaching a 3 credit hour class in Summer A or Summer B the FTE is .75 and six hours of service.
For faculty on a 9-month contract teaching a 3 credit hour class in Summer C the FTE is .375 and ten hours of service.

How is the FAR processed?
- Each faculty must complete and sign his/her FAR, turn it in to the Departmental
Secretary for the Chair's signature.
- The Chair or Department Secretary must submit the FARs for all full-time faculty
(including faculty on a Visiting Faculty assignment) in their department to the
Program Coordinator for the Dean's signature.
- The Program Coordinator will then make copies of all the FARs for the college and
submit the originals to the VP of Academic Affairs' office for processing.
Why it is important?
- It is a requirement of the university's reporting system.
- The Lutgert College of Business also uses the FAR as a source document for building its
internal database and for producing a variety of reports for internal and external uses.

Faculty Assignment Form (FAF)
Faculty Assignment Forms are produced on an annual basis after consultation between
the faculty member and his or her supervisor.
The supervisor in collaboration with the employee will be free to modify the percentages during any term if the needs of the academic unit change. If the assignments change by 5% or more, the form will be modified, initialed and a copy will be given to the faculty member. A copy of the signed Faculty Assignment Form is to be maintained by the supervisor and the faculty member as a guide for completion of the Faculty Activity
Report submitted at the end of each semester/term.

Professional Development Plan (PDP)
The Professional Development Report (PDR) is a report that is prepared by the faculty stating how they met the goals they stated on their previous Professional Development Plan (PDP).
Promotion
Fixed and continuing multi-year appointment, and tenured faculty may request
promotion from assistant to associate professor, or from associate to full professor.
The period under review will include all previous years at FGCU and any prior
credited time at other institutions. Evaluations are conducted based on criteria
developed by faculty in each of the academic units. The procedures are outlined in
the Faculty Performance Evaluation Document (33 pages - see page 19).
If a faculty member’s request for promotion is not granted, the faculty member may
seek a review of procedural due process informally with the faculty member's College
Peer Review Committee and formally with the UFF representative. The faculty
member is directed to the Faculty Performance Evaluation Document. Denial of
promotion does not prejudice in any way subsequent evaluations for successive
contract, since the criteria for the two are different.

Student Assessment of Instruction (SAI)
At the conclusion of the fall and spring academic terms, students are invited to
evaluate their courses and instructors. Instructors do not see evaluation results until
after grades are submitted for the term. Please note that each student's evaluation
form may be anonymously completed.
FGCU and LCOB strongly encourage the faculty to use the on-line evaluation system
as this allows for feedback soon after grades are posted.
Note: LCOB faculty who teach a course in a computer classroom or who teach a
virtual format course will automatically be assigned to have their course evaluated
online while faculty teaching in regular classrooms will automatically be given the
traditional paper evaluations, unless other arrangements are made.
Faculty teaching in regular classrooms who prefer to have their course evaluated
online and faculty teaching a virtual course or teaching in lab classroom who prefer to
have paper evaluations must notify the LCOB Associate Dean of their preferences by
no later than the end of the third week of classes.

FACULTY DEVELOPMENT SUPPORT
Academic Freedom and Responsibility
According to the Guiding Principles of the university “Academic freedom is the foundation
for the transmission and advancement of knowledge. The university vigorously protects
freedom and inquiry and expression and categorically expects civility and mutual respect
to be practices in all deliberations.”

Faculty Professional Development Support
Academic units provide faculty support for travel to conferences and workshops. Specifics vary among the academic units; consult your supervisor for details on how to apply for travel funds.
A Professional Development Grant program is administered by an Ad Hoc Team of the Faculty Senate. Faculty may apply for up to $2,000 per activity. Deadlines for submission occur three times over the academic year. Guidelines for submission are located on the Marline share drive in the Faculty Governance folder.
The Office of Faculty and Course Development, part of Academic and Media Technology Services (AMTS), offers a host of faculty and course development workshops, distance learning support, technology support, and media development. Ongoing courses and support are regularly offered. Current courses dealing with ANGEL and other eLearning Pedagogy can be found at the e-Learning Update newsletter on the AMTS website. You can register online for these courses.
Library Services has a series of orientation workshops to assist faculty with accessing electronic information; many of these can be made available upon request to both faculty and their classes.
Intellectual Property
An Interim Policy for Intellectual Property exists for out of unit faculty, students and other university staff that was approved by the Executive Group. The United Faculty of Florida and university administration are bargaining a policy for in unit faculty members. In the interim federal and state laws governing intellectual property apply for all university employees.

Sabbatical Policy
Employees may be eligible for professional development sabbaticals if they meet certain
requirements. FGCU has a policy on professional development leave (Marlin Share drive:
Faculty Governance Folder) and sabbatical criteria and processes for awarding these
competitive leaves. Sabbatical leave will be covered in the new collective bargaining
agreement currently under negotiation.

MISCELLANEOUS FACULTY ISSUES
Curriculum Development Deadlines
The Office of Curriculum and Instruction, along with the Curriculum Teams, has published the
deadlines for submittal of curricular materials.
Book Orders - Textbooks
The faculty selects the text book (s) of their preference for their courses and informs the department secretary about the selection decision. The department faculty/secretary enters the information on the bookstore Web site. This will create an e-mail message acknowledging that the order was received by the bookstore. If you complete the order yourself, please be sure to give a copy to your Department Secretary to keep on file.
Book Orders - Desk Copies
The faculty should inform the department secretary if they need assistance in requesting
any supplemental material needed, such as a desk copy, test bank, instructor manual,
power points presentations, etc. The department secretary should contact the publisher's
representative to order these supplemental materials (usually a second copy is requested
for the department).
To facilitate the ordering process, the faculty should provide the following information:

Hiring Students Under the Federal Work-Study Program

Faculty and staff,
Just a reminder that hiring students with Federal Work-Study is an economical way to get that extra help you need this semester. When you hire a student worker that has been awarded Federal Work-Study *, your department is only responsible for 25% of the student’s wages. The other 75% is drawn from the student’s Federal Work-Study funding. As an example, if you would like to pay a student worker $8/hr, the hiring department is only responsible for $2/hr.

* The Federal Work-Study program is a part-time job program funded by the U. S. Dept. of Education and the institution. Federal Work Study is awarded to needy undergraduate and graduate students who file the Free Application for Federal Student Aid (FAFSA). The amount of students' awards are based on students' financial need and the institution's funding level. Students may work up to 20 hours per week while classes are in session and 40 hours per during school breaks. The rate of pay is at least the current federal minimum wage, but the amount might be higher depending on the type of work the student performs and the skills required. Students' wages are paid by FGCU. When the student has earned the entire amount of the Federal Work-Study award, the student's job through the Federal Work-Study program comes to an end, although you may choose to continue their employment and pay the full hourly wage. For specific questions regarding the Federal Work Study program, please contact FGCU Financial Aid at 590-7920.
