Safe and Secure Storage

-

Computing Services has replaced Marlin Share with a new set of storage locations that better represent the data needs of FGCU.  Please read this e-mail carefully, especially if you have any data stored on Marlin Share.

Marlin share was meant to share information across departments on a temporary basis.   Over time, the original purpose has been lost.  There will be several new folders that will replace marlin share.  Which folder you use depends on what you are saving and who needs access to the data.

Avoid confusion and/or data loss by calling Computing Services help desk to move your data for you!

The new folder structure that replaces Marlin share is listed below:

Scratch Folder (previously Marlin Share, G: Drive)

We have created a new shared folder called Scratch that will replace Marlin Share.  This folder will be open to the university community. Everyone will have full access to the files located on the scratch folder.  The difference between Marlin Share and the new scratch folder is that the data in the scratch folder is temporary.  Data will be deleted after 6 months, ensuring that this space is kept as a temporary storage solution for cross-departmental use.

Campus: Cross Department Folders

Upon request, we will create campus folders for cross-departmental use.  These folders are intended to be used for any purpose that would exceed 6 months in duration and require access restricted to multiple departments.

If you are using a folder on Marlin share that fits the criteria above, you must request a University folder.  To request a university folder go to http://admin.fgcu.edu:2000/compservices/ti/dfs.asp and fill out the form or call the help desk at 590-1188.  Your new folder will be created within one week and your data will be moved for you.  You will be alerted via email when your folder has been created.

Campus: Departmental Folders - viewable by Campus

We have created a campus departmental folder (for each department) allowing all members of the department full access and the university community read only access.  This folder is meant to allow departments to share files with the entire university but not allow staff outside the department to change files, delete files, or add new files.

The following folders are currently being used and will continue to be available

Departmental Folders - Private (current department folders; AASS, H: drive)

The departmental folder will still exist and will be used by the members of the department to store files that are pertinent to the members of the department.  Departmental folders are only viewable by members of the department and anyone the department head has authorized to have access.

Faculty Folders

Each Faculty member has been given a personal shared folder that is automatically mapped when they log in to the computer they are using.  This allows a faculty member to save data while at their desktop PC then access it from a classroom podium PC without transporting the data.  This folder shows up as the W: drive.  These folders are accessible and visible only to the assigned faculty member.  This folder is intended to be used for the faculty member’s course work, projects, or information that is not departmental in nature.

Files Permitted on University Shared Folders
: In general, no file shall be stored on the University servers that was not created for the university or by a member of the university community.  MP3’s, personal pictures, personal music files, personal programs, .ZIP files, and harmful or malicious files are not to be stored on the university servers.  No one is to make a backup of their local computer and store it on the university server shares.  If you need help making a backup of your local computer, please call the Helpdesk at (239) 590-1188 for assistance.
