Mission Statement:

The=C2=A0Office of Financial=C2=A0Aid and = Scholarships=C2=A0is a service-oriented unit within the Division of = Enrollment Services with primary responsibility to help students secure = the funds necessary to pursue an education at Florida Gulf Coast = University.=C2=A0 Given this mission, the=C2=A0Office of Financial Aid = and Scholarships staff assumes a proactive role in reaching out to = enrolled and prospective students regarding the=C2=A0availability of = financial assistance at FGCU.

=C2=A0

The Office of Financial Aid and Scholarships provides = services to both traditional and nontraditional students pursuing either = an undergraduate or graduate degree.=C2=A0 Financial aid programs = available for these students include scholarships, grants, loans, and = student employment from federal, state, private and institutional = sources of = funding.

Fully utilize Banner and its = capabilities to improve and automate financial aid office = processes.

The staff of the Office of Financial Aid and Scholarships=C2=A0has = been working, and continues to work,=C2=A0with Information Systems staff = to review all Banner related financial aid processes to automate these = processes when possible and appropriate.

=C2=A0

A Financial Aid data group has been formed which meets bi-weekly to = review the issues raised through this collaborative effort of Financial = Aid and IS.

=C2=A0

What measures have you taken towards assessment of this = goal?

The staff of the Office of Financial = Aid and Scholarships=C2=A0continues to work=C2=A0with Information = Systems staff to analyze each process, implement automation steps and = install in Banner pre-production in order to test each = process.

=C2=A0

Describe the progress you have made toward attaining this = goal including the anticipated completion date.

Because of the complexity of the = processes involved, and because of the necessary inclusion of data from = entities outside the university, we have not yet moved automation = improvements into production in Banner.=C2=A0 Testing continues in = Banner pre-production, but will be moved into production when = appropriate.

The processes that are being automated = will certainly provide faster and more accurate processing of financial = aid records, resulting in an improvement in the quality of award and = disbursement information for students.

The review of the Office of Financial = Aid and Scholarships web site is ongoing.=C2=A0 Updating the site with = current and accurate information has begun and revisions are being = published on our web site.=C2=A0 Thorough review and maintenance will = continue.=C2=A0 All information presented there will comply with current = university policies, as well as state and federal = regulations

A web site counter that will track the = number of visitors to the site will be installed in January = 2006.

Improve the process for awarding FGCU = Foundation = scholarships.

=C2=A0

What=C2=A0actions have been taken to attain this = goal?

Improvements and automation of = processes related to awarding FGCU Foundation scholarships is among the = identified improvement goals of the FOREST project.=C2=A0 Because of the = number and complexity of Banner related loan processing improvements = that have been identified, and are being worked on, work has not yet = begun on improvement of the scholarship awarding process.=C2=A0 However, = a new Scholarship Coordinator has been hired in the Office of Financial = Aid and Scholarships, effective 2/1/06, which will enable us to begin = the analysis of the current process as we work with IS staff towards the = desired improvements.

=C2=A0

What measures have you taken towards assessment of this = goal?

Because=C2=A0of the application = process timeframe for Foundation scholarships, we have not yet begun to = award these scholarships this year.=C2=A0 Awarding will begin after the = application deadline of March 15, 2006.

=C2=A0

Describe the progress you have made toward attaining this = goal including the anticipated completion date.

This continues to be the desired = outcome for this goal.=C2=A0 We hope to begin analysis of the process = and exploration of possible improvements by the end of Spring = 2006.

Describe how the results of assessments have been used to = improve student learning or your department's services.

This project has not been = completed.=C2=A0 However, we fully expect that service to students will = be greatly enhanced if we are successful in making Foundation awards = earlier than we have in the past,=C2=A0and communicating these award = decisions to students earlier.=C2=A0 This will enable any entering = students who are awarded scholarships to consider our offer of financial = aid and scholarships when weighing the university's offer of = admission.

What program or service specific assessment occurred in the = current academic year?

We have made significant progress in improving communication with = both prospective and currently enrolled students.=C2=A0 The Office of = Financial Aid and Scholarships presents substantive and comprehensive = information to all freshmen and transfer students who attend = orientations conducted by the Office of First Year Advisement.=C2=A0 = Summary information statements are prepared for each student who attends = orientation.=C2=A0 The statements provide the student with a snapshot of = their financial aid application and award status.=C2=A0 We also provide = information to the parents of entering freshmen who attend the parent = orientation conducted by the Office of First Year Advisement.

=C2=A0

We review the financial aid record of entering freshmen and = transfer students who have registered for orientation and send them an = e-mail if the student has not filed a FAFSA (Free Application for = Federal Student Aid) for the current year, encouraging them to file the = FAFSA as soon as possible.

=C2=A0

We send out reminder e-mails each semester to students who have not = submitted all required documentation, urging them to do so as soon as = possible.

=C2=A0

Letters are mailed to all Federal Stafford Loan recipients whenever = a disbursement of their loan occurs, informing them of the loan = disbursement and advising them of their rights relative to cancelling = their loan, should they choose to do so.

=C2=A0

Letters are mailed in a timely manner to all students who fail to = meet the university's satisfactory progress standard for continued = receipt of financial aid.

=C2=A0
