Virtual Camp Guidelines

Florida Gulf Coast University is committed to providing a safe environment for all youth participating in camps, conferences, clinics and/or enrichment programs hosted in FGCU facilities. In Florida, summer camps are regulated by the Department of Children and Families and the following requirements apply per Florida Statute:

• All summer camp personnel for camps involving minors must be Level 2 Background Screened, including owners, operators, employees and volunteers that provide summer care for children. Volunteers providing less than 10 hours of service per month do not need to be screened, as long as they are always within sight of a person who meets the screening requirement.
• A Level 2 Background Screening is inclusive of a background check and fingerprinting for statewide criminal history checks through FDLE and national criminal history checks through the FBI and may include local law enforcement checks.
• All summer camp personnel must be screened no more than 60 days before the start date of the camp, unless the individual continually works in a profession caring for vulnerable populations and is not unemployed for more than a 90 day period and the Level 2 screening was completed within the last 5 years.
• The Level 2 Background Screening is good for 5 years. However, each subsequent year requires the Level 2 Background Screening to be repeated without fingerprinting. Every 5^th year the entire process needs to be repeated.

All FGCU camps classified as Requisite, Non-Requisite or an Athletic Institutional Camp should contact FGCU’s Human Resources Department to complete the background screening process.

A Certificate of Liability Insurance is not required for camps/conferences classified as requisite, non-requisite, or Athletic Institutional.  However, Camper's Accidental Insurance is required.

All camp/conference organizers must purchase camper's insurance for each of their campers.

Contact Environmental Health & Safety (EH&S) to purchase Camper's Insurance.  Alternatively complete the at Camper's Insurance Application and submit it to EH&S.

A University approved waiver is required to be collected for each camp/conference participant. Please note that your Campus Conference Programs Event Planner will assign the appropriate waiver for your camp or conference.

Summer Camp Personnel are required to complete Campus Security Authorities (CSA) training annually.

FGCU Related camps must follow the appropriate Cash Collection Procedures below:

• The official University Cash/Check Log should be used to record all cash and check transactions. The Cash/Check Log must be properly completed and contain the Activity/Cost Center where funds should be deposited and/or Detail Codes as assigned by the Bursar’s Office.
• Pre-numbered receipts should be issued in triplicate for all cash transactions. The first copy of the receipt is given to the customer at the time payment is made. The second copy of the receipt is attached to the pending Cash/Check Log. The third copy of the receipt is retained by the Department. Please contact the Cashier Supervisor for a pre-numbered receipt book.
• If a check is received, the Cash Custodian should stamp the back of the check with an official University endorsement stamp. Please contact the Cashier Supervisor for an official University endorsement stamp.
• Checks, drafts or money orders should be payable to Florida Gulf Coast University (FGCU), have a current date (not post-dated), the dollar amount, the person or organization’s name and address printed on the check, and a signature. Foreign checks, drafts or money orders should not be accepted without prior approval of the Cashier’s Supervisor.
• Cash and checks should be secured and locked in a cash lock box or safe at all times.
• All funds collected on behalf of the University should be deposited at the Cashier's Office on a daily basis between the hours of 8:00 a.m. and 5:00 p.m. whenever possible, but no later than one week of the collection of funds.
